Office Assistant
The Office Assistant plays a key role in supporting the daily operations of our company, helping ensure the workplace runs smoothly and efficiently for everyone.
You might be our missing piece if you have:
- Excellent English skills, both written and spoken
- Solid knowledge of Microsoft Office tools
- A valid driver’s license – required
- A proactive, self-starter mindset, with the confidence to take initiative
- Positivity, attention to detail, and reliability
- A flexible approach—feeling comfortable when priorities or plans shift

We would be thrilled if you have:
- Prior experience in a similar office support or administrative role
What you’ll be working on:
Keeping the office supplied and organized
- Maintaining accurate inventory of furniture, office supplies, and equipment (printer, coffee machine, dishwasher, refrigerator, etc.), ensuring all items are in good condition and available for employees as needed
- Ordering office supplies, including coffee, stationery, cleaning products, and any other necessary materials
Managing correspondence and couriers
- Making sure all incoming correspondence and packages are directed to the right departments or colleagues, and that all inquiries are answered promptly and professionally
- Creating shipping documents (AWBs) for outgoing parcels
Filing documents and maintaining an organized system
- Keeping contracts, invoices, and other legal paperwork, plus correspondence with suppliers, easy to find and up to date
Meeting room setup and business meeting support
- Ensuring meeting rooms are clean, fully equipped (TV, projector, notebooks, pens, etc.), and ready for client and company meetings
- Arranging refreshments or snacks for meetings, as needed
Managing travel and accommodation
- Handling business travel and accommodation arrangements for colleagues, staying in touch with booking agencies
Organizing company events
- Collaborating with various departments to help plan and organize company events
Supporting workplace safety (SSM)
- Checking fire extinguisher validity
- Helping with collecting required signatures and maintaining safety documentation
Maintaining relationships with suppliers
- Staying in contact with current suppliers and searching for new ones as needed
